HOA Board Meeting 2023-05-17 Minutes
Meeting called to order at 6:03PM
Heidi, Alycia, and Andrew were in attendance
• Discussed Robyn and Lisa stepping down from board, need additional board members
o Need to send out a new volunteer request form
o Term lengths that need filling are: 1 2-year term and 1 1-year term
o Bare minimum is 3 people (to avoid lawyers getting involved, but minimal involvement.)
o Board has 5 seats that can be filled, limitless members at large
• Need a spring newsletter
o Introducing new board member heidi, asking for new members, and changes upcoming.
• Discussed repeated visitor spot violations
o How do we better enforce the parking in other spots?
o Revamp the tactics we have, maybe getting passes? Putting something on website?
• Voting for cluster improvements:
1) Going ahead on the lights:
o Yay: Alycia, Heidi, Tim, Andrew
o Nay: None
o Do half now (include the 3 that are not working), half in 4 ish months
2) Removing the dead cluster tree by 1581 for $2100 & Treatment of the other pine near 1621 with Sav A Tree for $705 & 3) Pruning trees for $355
o Yay: Alycia, Heidi, Tim, Andrew
o Nay: None
3) Voting on the repainting with Pro-Pave: for 8300
o Painting the visitor name on the front of the spot and curb, but the normal 1 letter and numbers just on curb
o Yay: Alycia, Heidi, Tim, Andrew
o Nay: None
o Give people enough notice to clear the cars out.
o Andrew & Heidi getting parking schematic and will reach out to ProPave to schedule a time and final quote
• Other Todos:
o We need a spring newsletter that includes an intro of new board members & positions and highlights upcoming work (tree replacement, light pole replacement, parking lot repainting). Anyone able to work on this?
o We also need to update bylaw documents to include the new trash/recycling/parking rules & 1 year lease limit/no short-term rentals like VRBO or AirBnB. Any takers on rewriting the documents? – Tim has volunteered.
o Need to replace the tree we are removing with a new tree post DRB application.
