HOA Board Meeting 2023-01-30 Minutes

Called to order at 6:07 pm

Alycia, Robyn, Tim and Andrew were present for meeting

No community members joined for special interest in joining the board or new items to bring to the Board’s attention.

Topics:

  • DRB application for light poles – Need updated light pole map with missing pole.  Once that is received (Tuesday/Wednesday) submit the package to RA Advisor for additional signatures and submission to DRB.
  • Budget planning and approval.
    • Quarterly assessment – Initial research shows that the lowest in the nearby clusters is $270, next closest is $325.  Many are in $400’s. Gates Hudson sent the new budget and suggested we increase our assessment to $270 per quarter.  The board agreed to increase it to $280 per quarter based on overall budget needs.  Will go into effect in April.
      • Increase is needed to account for light pole replacements. Repainting parking lines. Street asphalt repairs. Increase in power usage for lights.  Cluster upkeep with lawn maintenance, trash, erosion, etc.  Inflation is continuing to rise, prices are rising, assessments need to increase to account for this.
      • Increase is also to try to take into account of property owners that are not paying the assessments.
  • Robyn will get quote for restriping of parking places to prepare for April meeting
  • Insurance renewal is due.  Board agrees to renew existing policy.
  • CD is due.  Recommend to allocate a portion of money market and a portion of the maturing CD to set aside to cover for lighting & parking striping.  Reinvest remainder of CD into a 6 month CD to give flexibility if more/less money is needed.
  • Annual meeting date selection. Virtual meeting. March 20 @ 6.30pm-7.30pm
  • Winter newsletter
    • Annual meeting date
    • Notice of new parking rules.
    • Notice of new trash schedule & rules
    • Call for board members. 2 or 3 vacancies are expected.  If no volunteers then may need to hire a lawyer to fulfill duties.
  • Question was submitted to the Board via the website inquiring about short term rental approvals.  Will inquire with property management company and lawyers as necessary.
